Everything You Need to Stay Compliant
From automated expiry alerts to multi-site compliance management, NovoCove handles the complexity of certification tracking so you can focus on delivering quality care across childcare and aged care.
RAG Compliance Dashboard
Real-time RAG compliance dashboard across all staff and certifications. Filter by site, role, or credential type; drill from the group-level roll-up to a single educator, room, or certificate. RAG status (red / amber / green) is visible at a glance.
Automated 7-Tier Alerts
Escalating 7-tier alert system fires at 90, 60, 30, 14, 7, 1, and 0 days before expiry. Gentle at first, critical as the deadline approaches — with a full audit log of who was notified and when.
Staff Management
Complete staff profiles with roles, qualifications, employment history, and custom fields. Track more than 90 certification types across childcare and aged care.
Evidence Storage
Upload and store certificates, visas, and qualifications with automatic expiry detection. Every document is linked to the obligation or NQS Quality Area it supports.
One-Click Audit Export
One-click audit-ready evidence export for ACECQA, ACQSC, ISO 27001, and APRA — a regulator-ready evidence pack in under five minutes, with the linked policies, training records, incident reports, and corrective actions.
Multi-Site Management
Manage compliance across multiple childcare centres or aged care facilities from one dashboard. Multi-site groups see coverage at the educator, room, centre, and group level — see how multi-site childcare and aged care operators run on the same platform.
90, 60, 30, 14, 7, 1, and 0 days before expiry
Every certificate and screening check fires an escalating reminder at seven points before expiry. Gentle at first, critical as the deadline approaches — and the audit log records who was notified and when.
Educators get a push notification. Service managers see coverage in the RAG dashboard. A lapsed credential immediately removes the staff member from any roster that requires it. The same cadence protects WWCC, first aid, NDIS Worker Screening, AHPRA registration, manual handling, food safety, and every other credential on file.
Aged care staff certifications, tracked to ACQSC standards
Aged care providers face a different set of screening and registration requirements than childcare — AHPRA, NDIS Worker Screening, manual handling, dementia and palliative care training, medication competency. NovoCove tracks every aged care certification, with the same 7-tier alert system and one-click ACQSC evidence export that protects your service through unannounced audits.
NDIS Worker Screening Check
NDIS Worker Screening clearance expires on a 5-year cycle (state-dependent). NovoCove records the state of issue, clearance number, issue and expiry dates, and fires the same 90 / 60 / 30 / 14 / 7 / 1 / 0-day alerts as WWCC. A lapsed clearance immediately removes the worker from any NDIS roster.
AHPRA registration (RN, EN, allied health)
AHPRA registration renews on a fixed, profession-wide date (for example, 31 May for nurses and midwives; 30 November for most other registered professions) rather than on the anniversary of the practitioner's initial registration, with profession-specific standards covering CPD, criminal history, English language, and professional indemnity. NovoCove tracks registration status and renewal for every profession on file, with the audit trail ready for the AHPRA registration page.
One-click ACQSC evidence export
Every linked policy, training record, incident report, and corrective action is pre-tagged to one of the seven strengthened Aged Care Quality Standards. A single click generates the ACQSC evidence pack — useful for unannounced audits and the strengthened Quality Standards framework.
Aged Care Quality Standards coverage
All seven strengthened Aged Care Quality Standards (effective 1 November 2025) are pre-loaded: Standard 1 (The Individual), Standard 2 (The Organisation), Standard 3 (The Care and Services), Standard 4 (The Environment), Standard 5 (Clinical Care), Standard 6 (Food and Nutrition), and Standard 7 (The Residential Community). Evidence pre-tagged to the right standard — see the ACQSC audit readiness section below.
SIRS incident readiness
SIRS incident reporting with the eight reportable categories pre-mapped, the 24-hour and 30-day notification deadlines pre-calculated, and the ACQSC notification format pre-built. See the SIRS & incident readiness section below.
The aged care lens on evaluation criteria — SIRS, AHPRA, ACQSC, NDIS Worker Screening — is covered in detail on the dedicated aged care compliance software page, with sector-specific evaluation points for ACQSC, AHPRA, and SIRS. The dedicated aged care compliance software page covers the full feature set.
Mobile app for staff compliance tracking
Educators do their training and certificate checks on their phone between room rotations. Service managers chase WWCC and NDIS Worker Screening renewals from the playground. The NovoCove mobile app keeps the compliance workflow in your pocket — not tied to a desk.
Tap-to-upload certificates
Educators photograph a certificate, the app extracts the expiry, and the record is on file. No laptop, no scanner, no retyping dates from a piece of paper.
Push notifications at 90, 60, 30, 14, 7, 1, 0 days
The 7-tier alert system pushes to the staff member's phone the moment a credential enters a renewal window. They act on it from the playground, not from an inbox.
Live RAG status per educator
Staff see their own compliance status in a single glance. Red / amber / green covers every credential on file, with the next action surfaced at the top.
Offline capture, sync when online
Rural and remote services lose signal. The mobile app captures the upload offline and syncs the moment the device is back in coverage — no data loss.
Web-only tools break the educator workflow. The mobile app is built in, not bolted on — see the compliance software comparison page for the mobile-vs-web evaluation point in your demo checklist.
Staff certification tracking software for Australian care
The full set of staff certifications that Australian care services need to track — from Working with Children Checks to AHPRA registration, with the right renewal cycle and regulator for each, all under one roof. WWCC, HLTAID011/012, mandatory reporting, anaphylaxis, asthma, food safety, manual handling, and 40+ more credential types ship pre-configured.
Working with Children Checks (all 8 state variants)
NSW, VIC, QLD Blue Card, WA, SA, TAS RWVP, ACT WWVP, NT Ochre Card — each tracked with the right 5- or 3-year renewal cycle, the verification portal URL, and the 7-tier alert system.
First aid and CPR (HLTAID011, HLTAID012, HLTAID009)
First aid renews on a 3-year cycle; CPR on 12 months. The platform knows the mixed cadence and fires the right alert at the right time. A lapsed CPR removes the educator from any roster that requires a current CPR.
NDIS Worker Screening Check
Required for anyone in a risk-assessed role with NDIS participants. 5-year cycle in most states, with state-specific renewal windows. NovoCove records the state of issue, clearance number, and tracks each worker against their state-specific cycle.
AHPRA registration (RN, EN, allied health)
Annual registration cycle with profession-specific standards (CPD, criminal history, English language, professional indemnity). Live status check available against the AHPRA public register.
Mandatory and role-specific training
Anaphylaxis and asthma management, mandatory reporting (NSW OCG, VIC DET, QLD Blue Card Services), food safety supervisor, manual handling, sun protection, dementia and palliative care. 30+ training types ship pre-configured.
ACECQA-approved qualifications
Certificate III in ECEC (CHC30121), Diploma of ECEC (CHC50121), Bachelor of Education (Early Childhood), ECT registration — tracked with PD hours and the certificate-to-diploma and diploma-to-bachelor pathways.
NovoCove is the single vault for every Australian care credential — 40+ types in total. For the full certification reference, see the certifications guide. For the staff certification tracking workflow, see the staff certification tracking software page. For multi-site childcare operations, see the childcare compliance software page. Use the NDIS Worker Screening certification page as a template for tracking state-specific screening clearance cycles.
Audit evidence export software for ACECQA, ACQSC, ISO 27001
The audit evidence export is the artifact that lands on a regulator's desk on the day of an assessment. NovoCove generates the pack in a single click — PDF index plus folder bundle, pre-tagged to the NQS Quality Area, ACQSC Quality Standard, or ISO control it supports, with the audit trail (who uploaded, when, version, review history) as part of the record.
ACECQA evidence pack
Filter by NQS Quality Area, choose the date range, and click Export. The platform assembles the PDF index plus the folder bundle with every linked policy, training record, QIP action, incident report, and acknowledgement. For the step-by-step, see the ACECQA audit evidence pack guide.
ACQSC evidence pack
Pre-tagged to the seven strengthened Aged Care Quality Standards. A single click generates the pack for the strengthened Quality Standards framework — useful for unannounced ACQSC audits. See the ACQSC audit readiness section below.
ISO 27001 + APRA CPS 230 evidence pack
For organisations that also face ISO 27001 surveillance audits or APRA CPS 230 reviews, the same platform pre-tags evidence to the right control or obligation. One click, regulator-ready.
Per-educator evidence pack
When the regulator asks show me your evidence for a single educator, the per-educator evidence pack assembles every credential, every training record, every acknowledgement on file — with the audit trail.
Per-period evidence pack
When the regulator asks show me your evidence for the last 12 months, the per-period pack assembles everything in the date range — useful for incident and complaint reviews.
Audit trail in every record
The audit trail (who uploaded, when, version, review history) is part of the record — not a separate document. The strongest evidence packs answer five questions for every document; ours answers them all.
The audit evidence export is one piece of the broader compliance software comparison framework. For the ACECQA preparation workflow, see the ACECQA audit evidence pack guide on the blog.
SIRS incident management software for aged care
The Serious Incident Response Scheme (SIRS) was expanded under the Aged Care Act 2024. The eight reportable incident categories, the 24-hour and 30-day notification deadlines, and the ACQSC notification format are pre-built — so the operator focuses on the incident, not the form.
Eight reportable categories pre-mapped
Unreasonable use of force, unlawful or inappropriate sexual contact, psychological or emotional abuse, unexpected death, stealing or financial coercion, neglect, inappropriate use of restrictive practices, and unexplained absence from care. Each is a pre-built category in the incident form.
24-hour and 30-day deadlines pre-calculated
SIRS Priority 1 incidents (unreasonable use of force, unlawful sexual contact, unexpected death, stealing) require ACQSC notification within 24 hours. Priority 2 incidents require notification within 30 days. The platform calculates the deadline from the incident timestamp and surfaces the upcoming deadline in the dashboard.
ACQSC notification format pre-built
The ACQSC notification form fields are pre-mapped in the incident record. The operator fills the incident details; the platform assembles the notification in the format the Commission expects.
Incident-to-correction linkage
Every SIRS incident is linked to the corrective action that closes it. The audit trail shows the incident, the investigation, the corrective action, and the closure date — useful evidence for the ACQSC and for the strengthened Quality Standards.
Multi-site incident roll-up
Multi-facility aged care providers see SIRS incidents across every facility in a single view — by category, by deadline, by status. Useful for board reporting and for identifying facilities that need additional support.
Board and committee reports
One-click SIRS roll-up for board and quality committee meetings — counts by category, by facility, by month, with trend lines. The same data flows into the ACQSC evidence export.
SIRS reporting is one piece of the broader aged care compliance software workflow. For the SIRS regulatory detail, see the SIRS incident reporting guide on the blog. For the ACQSC audit evidence export, see the ACQSC audit readiness section below.
ACQSC audit compliance software for aged care
The Aged Care Quality and Safety Commission (ACQSC) audits arrive unannounced. The strongest ACQSC audit compliance software keeps evidence pre-tagged to the seven strengthened Quality Standards (effective 1 November 2025), ready for export in a single click on the day of the audit — not assembled in a six-week scramble.
Seven Quality Standards pre-loaded
All seven strengthened Aged Care Quality Standards (effective 1 November 2025) are pre-loaded: Standard 1 (The Individual), Standard 2 (The Organisation), Standard 3 (The Care and Services), Standard 4 (The Environment), Standard 5 (Clinical Care), Standard 6 (Food and Nutrition), and Standard 7 (The Residential Community).
One-click ACQSC evidence pack
A single click generates the ACQSC evidence pack — PDF index plus folder bundle, pre-tagged to the Quality Standard. The pack includes every linked policy, training record, SIRS incident report, corrective action, and acknowledgement, with the audit trail.
Strengthened Quality Standards alignment
The strengthened Quality Standards (effective from 1 July 2024 under the Aged Care Act 2024) added explicit expectations on consumer dignity, clinical governance, and information handling. NovoCove maps every obligation to the strengthened framework out of the box.
Care minutes (215-min) compliance
The 215 mandatory care minutes per resident per day (effective from 1 October 2023) are tracked at the roster level. RN coverage (24/7) is tracked at the facility level. Both feed into the ACQSC evidence pack.
Clinical governance evidence
Clinical governance frameworks, medication management, infection control, and the consumer advisory body records are all linked to the relevant Quality Standard. The audit trail shows the review history and the consumer consultation record.
Multi-facility ACQSC roll-up
Multi-facility providers see ACQSC audit readiness across every facility in a single view. Group operations and quality teams see which facilities are green, which are amber, and which need attention — useful evidence for the board and for the regulator.
The ACQSC audit readiness view is one piece of the broader aged care compliance software feature set. For the comparison framework — SIRS, ACQSC, AHPRA, and NDIS Worker Screening as hard requirements — see the aged care compliance software page. For the one-click evidence export workflow, see the audit evidence export section above.

Pre-loaded training types
30+ mandatory and role-specific training types ship pre-configured: HLTAID011/012, anaphylaxis and asthma management, mandatory reporter training (NSW OCG, VIC DET, QLD Blue Card Services), food safety supervisor, manual handling, sun protection. Custom training types available on the Professional plan.
Renewal alerts by training cycle
First aid (3 years), CPR (12 months), anaphylaxis (annual in NSW/VIC), food safety supervisor (5 years) — the platform knows the mixed cadences and fires the right alerts. Gentle at 90 days, critical at 7 and 0 days, with the audit log of who was notified and when.
Audit-ready training evidence
Every training record is linked to the staff member, the training provider, the completion date, and the obligation or NQS Quality Area it supports. The training evidence is part of the ACECQA / ACQSC evidence pack export.
Training compliance is one piece of the broader compliance management software workflow. See the comparison page for how alerts, dashboards, evidence export, and multi-site roll up. For the aged-care side of the same workflow — AHPRA registration, SIRS reporting, mandatory training under the strengthened Quality Standards — see the aged care compliance software page.
First aid (HLTAID011/012) expiry tracking
HLTAID011 (Provide First Aid) and HLTAID012 (Provide First Aid in an Education and Care Setting) are the two first aid credentials that nearly every Australian childcare and aged care worker must hold. Both expire on a 3-year cycle — and the renewal cycle is different from CPR (12 months), so a single alert system has to handle the mixed cadences correctly.
Why first aid expiry tracking breaks on spreadsheets
The most common first aid lapse in Australian care services is a CPR qualification that quietly expired 4-6 weeks ago — the spreadsheet has the date but nobody was watching. NovoCove's 7-tier alert system fires at 90, 60, 30, 14, 7, 1, and 0 days before expiry, with notifications to both the educator and the responsible manager. A lapsed first aid credential immediately removes the educator from any roster that requires a current first aid qualification — the same mechanism that protects against a lapsed WWCC.
HLTAID011 vs HLTAID012 — what to track
HLTAID011 (Provide First Aid) is the general workplace first aid credential — required across most industries. HLTAID012 (Provide First Aid in an Education and Care Setting) is the childcare-specific variant and is the one ACECQA expects on file for every educator. Aged care workers typically hold HLTAID011, plus the HLTAID009 (CPR) component renewed annually. NovoCove tracks all three separately with the correct cadence for each. See the HLTAID011 certification page for the full credential detail.
